  • Job Summary

    The Risk & Business Operations Specialist provides direct support to volunteers and staff. He/She will manage the trip and volunteer event approval process while providing direct support to both internal and external customers.

    Duties & Responsibilities

    Building support

    • Coordinates rental of program rooms at the Mableton Complex to outside groups communicating information with the business operations team as appropriate.
    • Schedule building door openings and closings.
    • Responds to Facility Dude request for non-mechanical requests.

     

    Risk support to membership and staff

    • Manages the approval process for trips including data collection and entry, emails to obtain information, follows up volunteers & staff maintains paper files, and ordering insurance as needed in a timely and consistent manner.
    • Maintains spreadsheet with critical data.
    • Manages the approval process for events including data collection and entry, emails to obtain information, follows up volunteers & staff maintains paper files, and ordering insurance as needed in a timely and consistent manner.
    • Processes Certificates of Insurance on behalf of council, vendors and service providers for the Mableton Complex.

     

    Contract management

    • Department lead and liaison for initial intake and review of contracts
    • Maintains and manages electronic & paper files for contracts.

     

    Administrative support

    • Ensures all bills and invoices are paid correctly and in a timely manner, creates and manages accruals.
    • Manages all incoming and outgoing packages and mail.
    • Review and make suggestions for edits of council publications.
    • Order and bill departmental request for Staples orders.
    • Provides direct administrative support to Risk and Facility Operations Manager
    • Maintain copier control system and provide monthly monitoring report
    • Order supplies

    Skills & Experience

    • At least two years previous clerical experience in an office environment
    • Intermediate to advanced level experience with Microsoft Office 2010 (Outlook, Word, Excel, PowerPoint)
    • Detail oriented with ability to manage multiple assignments
    • Ability to organize and prioritize while working independently
    • Excellent communication skills, written and oral
    • Must successfully complete a criminal, MVR and credit background check.
    • Requires the physical mobility to sit or walk for moderate periods of time and to carry or lift objects weighing up to 50 lbs
