  • Job Summary

    The Finance and HR Executive Assistant plans, provides and coordinates supportive services for the CFO, Senior HR Director, Finance, and HR teams at the Girl Scouts of Greater Atlanta.

    Duties & Responsibilities

    Finance Operations:

    • Coordinate Chief Financial Officer’s schedule and executive logistics such as managing the calendar, phone calls, documents, filing and other scheduling as required.
    • Draft, edit and prepare all documentation and correspondence for Finance and Audit Committee meetings as well as schedule and plan in advance for all upcoming meetings including agendas, minutes, announcements, handouts, tracking deliverables and refreshments. All with a high level of accuracy, clarity and timeliness.
    • Reconcile credit card statements, prepare expense reports and process invoices.
    • Implement and maintain an effective and efficient filing system.
    • Manage departmental calendars.
    • Make meeting and travel arrangements.
    • Proven ability to maintain and preserve confidential matters.
    • Assist with various accounting, finance, information technology, property and risk tasks and projects.
    • Perform general administrative and other duties as assigned.


    Human Resources Operations:

    • Organize and maintain current and legally compliant central employee files, benefit files, and other filing systems.
    • Prepare employment agreements for temporary staff members.
    • Verify I-9 documentation, completion of E-Verify, and maintains I-9 records.
    • Maintain an updated organizational chart, seating chart, and directories for the council.
    • Manage departmental calendars.
    • Ensure that all on-boarding staff members have proper new hire paperwork, prepare new employee files and ensure all files are completed within a timely manner.
    • Assist HR Director with various projects.
    • Schedule meetings and interviews as requested by HR Director or HR Manager and complete reference checks.
    • Place ads for open positions and assist with other recruiting processes.
    • Assist or prepares internal and external correspondence.
    • Proven ability to maintain and preserve confidential matters.
    • Perform general administrative and other duties as assigned.

    • Expertise in Microsoft Office (including Outlook, PowerPoint, Word, Excel)

    Minimum Qualifications


    • At least two years’ experience with general office responsibilities and procedures
    • Knowledge of organizational principles and practices of basic office management
    • Willingness or ability to work flexible hours, including some nights and weekends
